Swag Committee¤

Mission¤

The mission of the Swag Committee is to provide high-quality, T-shirts on pre-order that enhance the conference experience. Our goal is to offer attendees memorable, eco-friendly swag that reflects the spirit of the event, while minimizing waste and ensuring efficient distribution during the conference.

There are T-shirts for attendees, organizers, and volunteers in different colors. Organizers might have additional swag like hoodies, or other items.

Responsibilities¤

  • Design and Concept Development:
    Collaborate with designers to create unique T-shirt designs that capture the essence of the conference. Decide on the colors used for attendees, organizers, and volunteers.

  • Coordinate Production:
    Work with suppliers to manage the on-demand production of T-shirts, ensuring that orders are processed efficiently and delivered in a timely manner. Make sure to check the sizes upfront by ordering in samples.

  • Collect Quantities:
    Collect the quantities of T-shirts pre-ordered by attendees and amke sure to collect to numbers for organizers and volunteers swag.

  • Coordinate Distribution:
    Oversee the distribution process for attendees at the confernce, coordinate with the On-Site Committee.

  • Sustainability Focus:
    Ensure that T-shirts are produced sustainably, using eco-friendly materials and minimizing waste by focusing on on-demand production.

  • Communicate with Attendees:
    Provide clear information to attendees about how to pre-order their T-shirts, including deadlines, sizes, and any customization options available.

  • Budget Management:
    Work with the finance team to stay within the allocated budget for T-shirt production and distribution.

Workload¤

The Swag Committee start to work one month before the ticket sales open. Size-tables are required to collect the pre-orders from ticket purchases.

  • Conference: some coordination to organize distribution to attendees, organizers, and volunteers
